Companies look to efficient payroll systems to relieve administration burden
and reduce errors

ECM Vehicle Delivery Solutions has chosen Payrite®®, specialist payroll software from Rutherford Webb to administer its two weekly and monthly payrolls to over 430 employees. ECM provides delivery services to customers of new and used cars across the UK. Using Payrite®, ECM manages the changing weekly requirements of the payroll for its 300 drivers, as well as the monthly payrolls for its administrative, operations and management staff in ECM and the sister company that maintains its vehicle fleet.

After reviewing five competitive offerings, ECM selected Payrite® following a product demonstration. ECM has very unusual requirements, the Drivers payroll varies weekly according to bonuses and incentives based on vehicles delivered and distances travelled. Data from timesheets and tacographs is keyed into spreadsheets before being transferred for the payroll calculations. Prior to implementing Payrite®, the data was gathered on spreadsheets and re-keyed manually into the payroll system. Now the data is imported directly into Payrite® from spreadsheets using templates, saving time and reducing errors.

ECM’s payroll department uses the report function to select data on specific employees and components and date ranges to obtain a clear picture of the business. Rutherford Webb also designed an interface so that the payroll system feeds into ECM’s accounts system. ECM uses the Internet filing facility in Payrite® and is moving towards BACSTEL IP.

Garry Smith, Payroll Manager at ECM explained: “Our payroll involves nearly 10,000 entries and used to take four people a day each to key the data in. Naturally with so many entries there were always some errors, which also took time to rectify,” said Smith.

“Now we can import the files in four minutes and be checked by one person in just four hours. This is a huge time saving – the improved efficiency, accuracy and flexible reporting sold us on Payrite®,” he added.
